Help center

Step-by-step help for the Ringo Grants & Charities app and phones. Can't find it? Click πŸ’¬ Ask Ringo at the bottom right, call (720) 790-4143 (Denver) or (817) 968-3789 (Fort Worth), or email support@ringogrants.com.

In the app: every screen has a ❓ Help button with steps for that page, and an Ask box that answers questions about the app.

Getting started

1. Sign in

Go to app.ringogrants.com and sign in with the email Bob set up for you. Turn on two-step sign-in under Settings for extra safety.

2. Fill in your charity profile
  1. Open Grants β†’ πŸ“‹ Charity profile.
  2. Fill in your mission, programs, who you serve and how many, service area, budget, staff and volunteers, results with real numbers, and past funders.
  3. Add grant search keywords, separated by commas (for example: food pantry, hunger, seniors).
  4. Click Save profile.

Ringo writes every application and checks every eligibility rule from this profile. Only your organization's facts go here, never donor or client names.

3. Save your approved answers

Open πŸ“š Answer library and save text you reuse: organization history, board list, how you measure results, diversity statement. Ringo uses them in every draft.

4. Find your first grants

On 🎯 My grants, click Find federal grants or Find foundations. The getting-started checklist at the top shows what's left.

Finding grants and funders

Federal grants (Grants.gov)

Click πŸ”Ž Find federal grants. Ringo searches Grants.gov with your keywords, scores each grant for fit, and drops weak matches (under 40%). It searches again every week by itself. Each grant shows when it was last checked.

Private foundations in any state
  1. Open πŸ› Find funders.
  2. Type a cause (hunger, animals, youth) and pick a state.
  3. Click Search. You'll see each foundation's grants paid and assets from its latest IRS filing.
  4. Click οΌ‹ Save as prospect on good ones.

Read a foundation's 990-PF, Part XV, to see who it funds and how to apply. Many only fund their own state or county.

Who funds charities like us?

On πŸ› Find funders, look up a charity similar to yours. Open its 990 filings and Candid profile; its annual report and "Our supporters" page usually list its funders, and they may fund you too.

State, local and corporate grants

Open πŸ—Ί Where to look for the community-foundation locator (every state), state grant programs and corporate giving programs. Found one? Click οΌ‹ Add a grant on My grants.

Hide grants you don't want

Click πŸ™ˆ on a grant. It's hidden for good and won't come back in future searches. Tick "Show hidden grants" to see them again.

Checking eligibility

Upload the funder's guidelines
  1. Open the grant (✨ Work on it).
  2. Under 1. Funder's guidelines, choose the PDF, Word or text file and click Upload, or paste the text and click Save pasted text.
Run the eligibility check

Click πŸ” Check my eligibility. Ringo lists every rule in the guidelines: βœ… met, ❌ not met, ❔ your profile doesn't say. If anything is ❌, read it before you spend time writing. Fill in ❔ items in your profile and check again.

Writing the application

Pick the type

Choose Full proposal, Short application (1–3 pages) or Letter of inquiry at the top of the grant and click Save. Many foundations want a letter of inquiry first.

Draft it

Click ✨ Draft it for me (about 30 seconds). Ringo writes from your profile, answer library, budget and the funder's guidelines, and answers the funder's own questions. Anything in [ADD: …] is a fact Ringo didn't have. Fill it in. Ringo never makes up numbers.

Edit, insert and copy

Edit any section, use Insert from library… to drop in a saved answer, click Save draft, then πŸ“‹ Copy all to paste into the funder's form.

Submit

Ringo never submits for you. Submit from your own account on the funder's site, then set the status to πŸ“¨ Submitted.

Building the budget

Add budget lines

Under 3. Budget, click οΌ‹ Add line: item, category, quantity, cost each, and money from other sources. Add an indirect % if the funder allows it. Ringo shows direct costs, project total and the amount to request.

Budget justification

Click ✍️ Write budget justification. Ringo explains each line using only your numbers and adds it to the draft.

Teamwork

Owners, comments and board review

Set an Owner on each grant. Leave notes under πŸ’¬ Team comments. When a draft is ready, click πŸ‘€ Send for team review so your board or ED can read it first. Add teammates under Settings β†’ Team.

After you win

Payments and installments

Set the status to πŸŽ‰ Awarded and enter the amount awarded. Under 5. After you win, add each payment with its expected date (multi-year grants too). Tick it when the money arrives.

Deliverables and funder reports

Add what you promised (for example "serve 500 families") and report due dates. Ringo emails reminders 14, 7 and 2 days before each one.

Export to QuickBooks or Salesforce

On My grants, click ⬇ Export CSV. The file lists every grant and every payment, ready to import.

Phones

What Ringo does on calls

Changing what Ringo says

Change your hours, answers and transfer numbers in the app under Settings, or call Bob and he'll update it the same day.

Privacy

What we keep

For calls we keep counts, times and topics only: no caller names, numbers, transcripts or recordings. In the grant tools we keep your organization's profile, grants and drafts. Never put donor or client details in them. Your data stays yours and can be exported anytime.

Troubleshooting

β€œAdd a few keywords” message

Open Charity profile and fill in Grant search keywords, then save.

Few or no federal matches

Grants.gov lists only federal grants. Try broader keywords, and use Find foundations and Where to look for the rest.

β€œCouldn't read that file”

Some scanned PDFs have no text. Copy the text from the funder's website and paste it instead.

The eligibility check says to upload guidelines

Ringo only checks against the funder's real rules, so upload or paste them first.

I didn't get a reminder email

Check your spam folder and add support@ringogrants.com to your contacts. Reminders go to admins and managers on your account.

Something else isn't working

Call (720) 790-4143 or email support@ringogrants.com with what you clicked and what you saw. We answer within one business day.
